On April 1, Penn’s updated Travel & Entertainment Policy will be officially posted. With considerable input and feedback from across the University, the updated document acknowledges Penn’s new online travel and expense management (TEM) system while formally revising areas of the policy to reflect current practice and requirements. More information will be disseminated in the coming weeks through various University communications channels.
Highlights of the policy changes include:
• Recognition of Penn’s new method of managing travel and business entertainment expenses within the Concur TEM System;
• Modified language that addresses the Global Activities Registry, underscoring Penn’s commitment and requirement to support the safety of students, faculty and staff traveling abroad;
• Updated language to reflect the University-sponsored Penn Travel Card Program, which is integrated with Concur. Revisions also have been made regarding responsibility for timeliness of payments and late fees associated with card usage;
• Clarification of the definition of reimbursable personal meals to better reflect IRS accountable plan rules; and
• General addition, deletion and reorganization of policies so that the order of policies is more intuitive.
Penn travelers as well as those individuals who oversee travel and business entertainment expense management in their Schools and Centers are encouraged to become familiar with the changes.
